The Role and Responsibilities

  • Documentation, Analysis, & Reporting: Prepare, maintain, and update essential documents, reports, and records. Gather and analyze data to provide insights into operational metrics and KPIs and drive business decisions.

  • Stakeholder Communication: Serve as a primary point of contact for both internal and external stakeholders, addressing correspondences and queries.

  • Process Design & Continuous Improvement: Identify opportunities for operational improvements, staying updated with the latest tools and best practices. Implement scalable and innovative solutions when necessary.

  • Cross-functional Collaboration: Collaborate with teams across the company, including marketing, finance, and engineering, to ensure alignment and seamless operational flow.

  • Resource & Financial Management: Oversee resources, including budgeting, forecasting, office supplies, and software subscriptions. Handle basic financial tasks like invoice processing, expense tracking, and budget coordination.

  • Tools & Systems Management: Direct the selection, implementation, and management of tools and systems that support business operations.

  • Project Management & Assistance: Lead, execute, and support key projects, ensuring growth and operational excellence, while collaborating with cross-functional teams.

  • Financial Oversight: Assist in basic financial tasks such as invoice processing, expense tracking, and budget coordination.

  • Operational Efficiency: Streamline administrative procedures and processes, pinpointing areas of improvement.

  • Remote Work Best Practices: Stay informed about administrative tools and practices suitable for remote work environments.

  • Educational Background
    :
    • Bachelor’s degree in Business Administration, Operations Management, or a related field.

  • Experience:
    • Minimum of 3 years of experience in an operations role or related field.

    • Proven experience in documentation, data analysis, and reporting.

    • Hands-on experience with project management and process improvement.

  • Technical Skills:
    • Proficiency in office productivity tools (e.g., Google Workspace).

    • Familiarity with standard business software, data analysis tools, and project management software.

    • Basic understanding of financial management and budgeting tools.

  • Soft Skills:
    • Excellent written and verbal communication skills.

    • Strong organizational and multitasking abilities.

    • Proactive problem-solving and critical thinking skills.

    • Ability to work collaboratively with cross-functional teams.

  • Preferred Qualifications:
    • Experience with remote work tools and best practices.

    • Familiarity with resource management and stakeholder communication.

    • Certification in project management or operations management is a plus.
