Job Purpose


  • Handling all NPR Related invoices on the system for PO, GRN, Payment.
  • Handling all admin related job as per description below.
  • Handling the reception desk in the absence of the Receptionist
  • Supporting the Admin Manager for all admin related jobs

Key Accountabilities


  • Handling all NPR Related invoices, preparing PO, GRN, Raising ticket for payment, follow up of payment, maintaining log of tickets raised, arranging biweekly calls for payment follow up, tallying the monthly SOAs received from vendors and updating the vendor on payment status, getting payment allocation from finance and sending to vendors, arranging payment of all company utility bills like DEWA, Empower, Etisalat, DU, etc on time to avoid fines and interruption of services. Creating new vendor accounts and raising tickets for new vendor, change of payment terms or bank details, etc. are required.
  • Maintaining a log of all company leased cars, updating the log frequently. Coordinating with HR to renew expired contracts, arrange and provide POs for new vehicle lease to the vendor. Coordinate with vendor for new vehicles, prelease cars or off hire cars not required, contract extensions, etc.
  • Handling the Reception desk and all reception duties in the absence of the Receptionist.
  • Arranging business flight tickets, hotel accommodations, tourist visa for guests arriving, helping with documents to apply for business visas and get appointments. Keeping a track of all travel data monthly and updating the files every week to send reports on time to Finance.
  • Renewing all staff labor accommodations, office tenancy contracts and arranging for refunds, cancellations etc.
  • Preparing monthly statements for all utility bills and arranging payments on timely basis
  • Assisting the Admin Department with renewal of all Licenses.
  • Day to Day admin duties like booking meetings, arranging lunch, checking stationery, etc.

Experience


  • Strong SAP experience & Excellent Computer Skills in Microsoft
  • University Graduate
  • Minimum 5 years UAE Experience in an Admin Role
  • Must be able to join immediately
  • Strong communication skills
